Privacy Notice
Pursuant to Article 13 of EU Regulation No. 2016/679 (hereinafter “GDPR 2016/679”), which contains provisions for the protection of individuals and other subjects with regard to the processing of personal data, we hereby inform you that the personal data you provide will be processed in compliance with the above-mentioned regulation and with the confidentiality obligations of the data controller.
Data Controller
The Data Controller is the amateur sports association Trace ASD, represented by its legal representative pro tempore, acting as Data Processing Manager, namely the President of the association, who can be contacted at the following email address: thisistrace.cc@gmail.com.
Data Protection Officer (DPO)
Within our amateur sports association, it has not been deemed necessary to appoint a Data Protection Officer.
Purpose of the Processing
The personal data you provide, by virtue of the consent you give, will be used for the management of the associative relationship and for the organization of associative activities, as well as for compliance with legal obligations (also applicable, for example, to clients and suppliers).
The provision of such data is mandatory in order to achieve the purposes set out in the Association’s statute and its sporting events, and is essential for the acceptance of your application for membership and for registration with the Association and the federations to which Trace ASD is affiliated and/or for participation in an event organized by the aforementioned association. Any refusal to provide such data will make it impossible to accept the application for registration and/or membership, as it would not be possible to establish the associative and/or membership relationship and/or participation in the sporting event for which you are registering with the entities affiliated with the Association.
Methods of Processing and Data Retention
Data processing will be carried out using automated and/or manual methods, in compliance with the provisions of the European Regulation regarding security measures, by duly authorized internal and external personnel, in accordance with Article 29 of GDPR 2016/679. We inform you that your data will be processed in compliance with the principles of lawfulness, purpose limitation and data minimization, and only to the extent necessary to pursue the Association’s purposes, and in any case only upon your free and explicit consent expressed at the end of this notice.
Your personal data will be stored for the period necessary to achieve the purposes for which they are collected and processed, in this case for ten years. This retention period is necessary to demonstrate the correct management of the associative relationship in compliance with sports regulations and tax laws.
Scope of Communication and Disclosure
We also inform you that the collected data, with your explicit consent, may be communicated to Trace ASD and to any other entities and federations to which the association may be affiliated, to insurance institutions, to public administrations in the exercise of their legal functions, for the reporting of services agreed upon or funded, as well as to collaborators and organizers of Trace ASD events, such as associations and commercial establishments.
The personal data of athletes participating in competitive sporting events may also be disclosed through the press and communication tools of the amateur sports association, as well as of the affiliated entity or entities.
We inform you that your data may be subject to necessary communications that may involve their transfer to public bodies, consultants or other subjects for the fulfillment of legal obligations.
Transfer of Personal Data
Your data will not be transferred to other Member States of the European Union nor to non-EU third countries.
Special Categories of Personal Data
Pursuant to Articles 26 and 27 of Legislative Decree 196/2003 and Articles 9 and 10 of EU Regulation No. 2016/679, you may provide the amateur sports association with data classified as “special categories of personal data”, namely data revealing racial or ethnic origin, religious, philosophical or other beliefs, political opinions, membership in political parties, trade unions, associations or organizations of a religious, philosophical, political or trade union nature, as well as personal data revealing health status and sexual life.
Such data may be processed by the association only with your prior free and explicit consent, given in writing at the end of this notice.
Rights of the Data Subject
- Request confirmation as to whether or not personal data concerning you exist;
- Obtain information about the purposes of the processing, the categories of personal data, the recipients or categories of recipients to whom the personal data have been or will be disclosed and, where possible, the data retention period;
- Obtain rectification and erasure of the data;
- Obtain restriction of processing;
- Obtain data portability, namely to receive the data from a data controller in a structured, commonly used and machine-readable format and to transmit them to another data controller without hindrance;
- Object to processing at any time, including processing for direct marketing purposes;
- Object to automated decision-making processes relating to individuals, including profiling;
- Request access to personal data and the rectification or erasure of such data or restriction of processing concerning you, or to object to their processing, in addition to the right to data portability;
- Withdraw consent at any time, without affecting the lawfulness of processing based on consent before its withdrawal;
- Lodge a complaint with the supervisory authority.
